The Data Council’s Supplier Membership and Item Renewal Program is our annual process for verifying each supplier-member’s item information within IX-ONE is accurate, complete and current. Memberships in IX-ONE are annual and renew automatically unless cancelled in accordance with our membership agreement. This renewal process is essential to ensuring that our supplier’s company and product information remains reliable and available for consumption by our retailers, distributors and broker members.
Supplier memberships are renewed and billed annually based on the month of their agreement date.
Part of a supplier’s commitment to The Data Council is to notify us of any product changes so we can recapture and update it within the IX-ONE product data and images exchange. Item recapture is outside of the renewal process and must be done anytime an item experiences any of the following:
• The Product ‘Case Level’ has a packaging, count or size change
• The Product ‘Innerpack Level’ has a packaging, count or size change
• The Product ‘Unit Level’ (Including a sellable ‘Innerpack Level’) has any change with the packaging, label or size change
• Shippers/displays will need to be recaptured if any of their contents experience a product change requiring recapture
If you are uncertain whether a specific package change requires recapture, please contact your Membership Relationship Manager for assistance.
Suppliers should notify their Membership Relationship Manager immediately when a recapture is required and arrange prompt shipping of a full case of actual product to IX-ONE for processing. Supplier members will be billed their contracted capture fee for each recapture.
It is critical that product recaptures occur as soon as possible to ensure retailers, brokers and distributors can rely on the information provided by IX-ONE. Non-supplier members can report inaccurate/outdated information within IX-ONE. Items flagged as outdated or inaccurate may be removed from IX-ONE.
Item renewal fees are charged at membership renewal time for items that did not need to be recaptured because of a label or package change during the previous term regardless of its initial capture/publish date. That means if a supplier joins on January 5th and has their initial five items captured and then adds three new items on September 20th, they will renew all eight items at the end of January – assuming none of their items underwent a recapture during that term.
The Per Item Renewal Fee Schedule uses a progressive model based on the total number of items being renewed for the term.
The Data Council’s Membership Solutions Team will provide each supplier member with all of their membership and product information for review and verification prior to renewal. Suppliers are asked to verify the accuracy of the information such as, discontinued items, and certify that the items being renewed do not require an item recapture.
